What Is AccoDrop, and Why We Built It

AccoDrop is UK bookkeeping software that connects accountants and small business clients in one place — receipts, invoices, bank statements, and the bookkeeping underneath all of it, kept together rather than scattered across apps, inboxes, and shoeboxes. That’s the short version. Here’s the longer, more honest one.

## The problem started with my own business

Before AccoDrop existed, I was running a business the way a lot of small business owners do — receipts in a drawer, some in the car, a few photographed and forgotten in a camera roll, bank statements downloaded when someone finally asked for them. It wasn’t chaos exactly. It just wasn’t organised, and I told myself it was fine because I’d sort it out before the tax deadline.

The problem is you can’t fully sort out what you’ve already lost. Receipts got misplaced. Some expenses I genuinely couldn’t remember the details of by the time my accountant asked. And because I couldn’t back up everything I’d actually spent, I ended up paying more tax than I should have — not because of anything complicated, just because the paper trail wasn’t there when it needed to be.

That’s a frustrating way to lose money. It’s not a dramatic story. It’s just what happens when record-keeping is an afterthought instead of a habit, and it’s an incredibly common one — most small business owners I’ve since spoken to have a version of it.

## Then I saw the same problem from the other side

Around the same time, working closely with accountants and bookkeepers made it clear this wasn’t just a “me” problem. From their side of the relationship, it looked just as painful, just with the pressure pointed the other way. Chasing clients for missing receipts. Following up on bank statements that never arrived. Trying to build accurate books from partial, late, or badly organised information, then doing it all again next quarter.

Neither side was being careless. The business owner has a business to run and bookkeeping isn’t naturally where their attention goes. The accountant is doing their best with whatever they’re handed, whenever it eventually arrives. The actual problem was structural — there was no single, shared place where documents landed the moment they existed, in a format that was already useful to the person who needed them next.

## Why existing tools didn’t solve it

The obvious question is why not just use what’s already out there. The honest answer is that nothing on the market ticks all the boxes in one place. Receipt-capture apps are good at capturing receipts and not much else. Xero and QuickBooks are solid ledgers, but they’re built around the accountant’s world, not the day-to-day reality of a client trying to get paperwork off their desk with minimum fuss — and they come as their own separate subscription on top of everything else. Client-communication tools solve the “chasing” problem in isolation, without touching the bookkeeping itself.

The result, for most small businesses, is stitching together two or three different apps and hoping the gaps between them don’t cause problems. One app for receipts, another for the ledger, a WhatsApp thread or email chain for actually talking to the accountant about any of it. Every gap between those tools is somewhere information can get lost — which is exactly the kind of gap that cost me money in the first place.

## What we actually built

AccoDrop puts document capture, bookkeeping, and the accountant-client relationship in one platform, with a genuine double-entry ledger underneath it — not a bolt-on that still requires a separate Xero or QuickBooks subscription to actually produce a Profit & Loss or Balance Sheet.

In practice, that means:

– A business owner snaps a receipt or uploads a bank statement the moment they have it, not weeks later
– Transactions get organised and prepared, ready for the accountant to review, rather than arriving as a pile of unsorted paperwork
– Missing documents are visible and easy to request, instead of living in someone’s memory until the next awkward phone call
– The accountant stays in control — nothing gets posted to the books without their review and approval
– Everyone works from the same place, so nothing depends on an email thread nobody can find three months later

Where it genuinely helps, AccoDrop uses AI quietly in the background — reading a receipt or a bank statement line and suggesting how it should be categorised, so nobody has to type it out by hand. It’s used as a last step, after simpler methods have already had a go, and it never has the final say. Every suggestion sits as “needs review” until your accountant actually looks at it and approves it. The point of the AI isn’t to replace that judgement — it’s to save you both the time of typing the same kind of transaction out manually, over and over, so the review is quicker and the books stay accurate.

To be clear about where we are: this is still early. We’re working closely with a small number of real UK accounting practices to build this around how bookkeeping actually works day to day, not how we assumed it worked from the outside. Some of what we eventually want to build — like direct HMRC submission — isn’t live yet and is being developed properly rather than rushed out. What exists today is genuinely built to solve the specific problem that started all of this: keeping the paper trail intact, from the moment a receipt exists to the moment the books are done.

## Why it matters more now than it used to

Making Tax Digital has made this problem harder to ignore. Under MTD, sloppy record-keeping doesn’t just risk an awkward year-end conversation — it shows up as an actual compliance gap. The businesses that struggle most with MTD aren’t the ones with complicated finances; they’re the ones without a consistent system for capturing what happens as it happens. That’s the exact gap AccoDrop was built to close, for the exact reason I first ran into it myself.
